Phase 2: Pre-Migration

  • The HSP should review and update relevant user lists (Catalyst, SAP, GAIN Suite)

    • DATIS recommends that HSPs retain their privileges to user accounts in case any changes are needed and if changes are made after data has been pulled, it is up to the HSP to reconcile with their new vendor system. It is advised that all users be restricted to Read-only access to prevent this. 
  • Review the organization's data retention policy to determine the scope of data to be migrated to the new vendor system.

  • HSPs are encouraged to communicate with Ontario Health to inform them of your go-live date with your new vendor. DATIS can facilitate this connection as necessary. 

  • Each HSP will download their data directly using the Data Download reports for a test migration with their vendor. Any HSP Catalyst Administrator can perform this task; if access is needed, this can be requested in the single service desk ticket - no new ticket is required.

  • Your new vendor will then import the data into your new system.

  • Confirm with DATIS the last day of data entry into Catalyst and the duration of the blackout period. There is typically a blackout period between the time you cease entering data in Catalyst and start entering data in your new vendor system.  During this period, your vendor will be working to import your Catalyst data.

  • If Access Client Locks (ACL) are used in Catalyst, request this information in preparation for data migration.

  • Plan for a blackout period between the last day of entry into Catalyst and the start of data entry into the new vendor system for MH&A data.

  • Note:

    • Case Notes and Attachments will be extracted by the DATIS team. Due to the large volume of files most organizations have, this can take several business days.
    • All activated users will still have access to all the data in Catalyst including Case Notes and Attachments. Only Catalyst Administrators can restrict user access unless specifically requested by HSP leadership.
    • If locks are in place for your HSP, please note that only Super Users should perform data downloads, as there may be restrictions preventing the transfer of all client data. For more information, please refer to the Access Client Locks (ACL) page.
