To assist agencies with data entry pertaining to creating a group for Entry Services; logging an entry service group activity; and adding members to the group from within the group attendance screen and to complete the attendance.

Step-by-step guide

  1. From the Main Menu in Catalyst, select Group Info from the Client Info menu.




  2. Click Search in the Group Management - Group Search screen.
  3. On the search results screen, scroll to the bottom and click Add Group.
  4. Enter the Group Name and Group Start Date, and click Save.
    **Agency Program name is not required in this instance.

    The group is now completed; there is no need to add members to the group member list as the members will be added to the group on the Group Attendance screen in the Activity Log.

Logging the Group Activity

  1. From the Main Menu, select Add Appointments from the Activity Log menu.
  2. Make selections based on the group appointment
    1. Complete service providers and the duration of the occurred
      group appointment for each of the service providers in
      attendance.
    2. Complete the date and time of the appointment.
    3. Select the Site.
    4. Select – Pre-Entry Services – Direct face-to-face as the Activity Type.
    5. Select the Activity.
    6. The Entry Services-Specify field can be left blank if the group was not a Problem Gambling (PG) Group. If it was indeed a PG group, this field must be completed.
    7. Leave the Substance Abuse / Problem Gambling funded? field checked.
    8. Select the Functional Centre depending on the type of group – substance abuse or problem gambling.

  3. Expand the For Group Appointments Only section and choose the group from the Group drop down box.

Go to the bottom of the screen, and click on Save and Go To Group Attendance.

When adding “Occurred” Group appointments to the Activity Log, two rules apply:

  • there must be members on the Group Attendance list screen
  • there must be at least one member marked as having attended the session otherwise, the appointment will NOT be saved

Completing the Group Attendance

  1. When the Group Attendance List screen displays, the group members will be displayed once the attendance is complete.
  2. There are two ways to add clients to the group:
    1. If the client has a Chart/File #, click the Create Record button and enter the Chart/File # to find the client in the database.
    2. If the client does not have a Chart/File #, or it is not known, click the Add Client to Attendance List button.  A search for the client can then be done.  Once the client is found, place a check in the corresponding Add to Group checkbox click the Add To Group Attendance List.
  3. The screen will then return to the Group Attendance List screen. Group members can continue to be added per step 2.
  4. Once all group members are listed, click Save.

  5. The screen will return to the Add Appointment screen.
