The treatment cycle begins at first contact and ends when the client is no longer engaged in services with the agency. In Catalyst, the cycle typically starts with Entry Services and should the client continue on to Admission will end at discharge.
Client Flow
Catalyst data entry flow:
- Client contacts the agency for service - this can be recorded as entry services.
- Client decides to continue with service and Client Information is collected along with Admission Information.
- Client is registered into a program and the Admission status is now Open.
- Service utilization (client activities) is recorded.
- Referrals can be made at anytime through the treatment cycle and can be recorded using the Referrals button at the bottom of the Admission Information screen.
- Program ends and the client's program registration is terminated. The client's Admission is still Open.
- If the client will participate in further services, they can be registered into another program. If no further services will be rendered, see step 8.
- If no further services are sought, the client's Admission can be Discharged.
- Client status is Closed once the discharge is complete.

Definitions
Clients Admission in Catalyst
- DATIS defines an admission to an agency as the provision of services to provide or further assist a client with assessment and/or treatment services (registered in a service program) on an on-going basis.
- An admission should be created when a client is ready to be registered to a program. There should only ever be one ''Open'' admission for any one client at any given time.
- A client can be registered to multiple programs either simultaneously or consecutively within the open admission.
- When all programs have been terminated and the client is no longer waiting for service, the client is discharged from the agency.
- The Client can be re-admitted to the agency should the client request services following discharge.
Client Status
As the Client moves through the treatment cycle, the admission status changes:
- Pending Status
- The client has some or all of the required admission information completed on the Admission Information screen, but is not yet been registered to a program. Pending admissions are not counted as admissions in reports.
- Open Status
- The client is (or has been) registered into at least one program, even if the program is terminated.
- Closed Status
- All programs have been terminated and the admission is discharged.
- Incomplete Status
- Some or all admission information was completed on the Admission Information screen, yet there were no programs linked to the admission and the admission has been discharged. Incomplete admissions are not counted as admissions in reports.
Steps through the treatment cycle from Entry Services to Discharge
These steps do not include clients who do not go beyond Entry Services. This model is also based on outpatient services delivered to a client. The flow of services would be different for Residential services.
First Contact
- Client initiates contact with the agency and it is determined that the client will engage in agency services.
- Information is collected, the Client Information screen is either fully or partially completed.
- Entry Services are logged to the Activity Log.
- An appointment is scheduled for the first session.
Overview
At this point there is no designated admission ''status'' for the client as the only information collected is on the Client Information screen. If the client were a repeat client the status would be still showing as "Closed". Some agencies gather additional information at this initial contact and are able to complete a portion of the Admission Information screen. If this is the case, then the Client Status will be that of "Pending."
Client's First Appointment
Following the clients first appointment, the Client Information and Admission Information screens are completed, and the client is registered to their first program. Activity is logged to the activity log and is linked to this first program. Note: If the client decides that this service was enough and chooses to no longer attend services following this initial session, the program would be terminated and the admission discharged.
Ongoing Treatment and/or Services to Discharge
As the client continues on with services following the first appointment:
- Subsequent appointments are logged to the activity log and linked to the open program for each visit by the client whether the visit is face to face or non-face to face.
- If the client completes one program and moves on to another, the first program is terminated and the client is registered to a second program.
- It is not necessary to terminate one program before registering the client to a second if the client is continuing treatment within the first program and is referred to another program within the agency.
- Outgoing referrals can be made at any point during the admission.
- Once all programs are terminated, the admission is discharged.
