NEO may not contain every specific report you need. Therefore, it is useful to know how to breakdown your data further in Excel. Here are some questions we can answer using NEO and Excel combined:

  • What services or items have been provided, broken down by gender?
  • What is the average age of clients?

Pulling the data from NEO

The best report for working in Excel is 101-Transactions (Detailed Transactions with Items).

  1. Select 101-Transactions.

2. Select the report type Detailed Transactions with Items.

3. Select your Date Range (this report is pretty big! If you select a large date range, it may take a while to load).

4. Select your Sites.

5. Click Generate, and then once the report loads, click Export as Csv.

6. The report should download in your browser. Open the report in Excel.

Result:

This report will show you details of every transaction performed (including anonymous clients) broken down by item. Each line in this report does not represent a single transaction, but merely one item that was distributed within a transaction.

Working in Excel

  1. Select your columns.

2. Insert a Pivot Table.

3. Drag your fields to the following areas:

  • Gender → Columns
  • Category → Rows (first)
  • Item → Rows (second)
  • Quantity → Values

Your resulting pivot table should look something like this:

4. Under Values, change the Value Field Settings to Sum.

This step is very important! Leaving the field value as "Count" will show you how many transactions occurred where a specific item was distributed, whereas "Sum" will show you the quantity of items distributed.

For example, you may have performed 5 transactions where you gave out crack kits, but given out multiple kits to each clients. So your count of transactions would be 5, and your quantity of supplies distributed might be 25.
