There are 21 Data Download Reports available for migration. Each report contains critical information needed to map all Catalyst data, (including custom fields) into your new CMS/EMR using the Provincial MDS to PDS Mapping Standard. All PDS-compliant vendors reviewed this tool each with the MHA Centre of Excellence and DATIS as well have been given the final copy. 

Additional reports DD-18 through DD-21 were built for HSPs to provide to their vendors to assist with record mapping. DD-01 through DD-17 contain the data in client records. The Case Notes Migration Steps resource has been created to support HSPs and their vendors to understand how to best map Case Notes and Attachments.

It is important to understand what data exists currently in Catalyst, essential MHA PDS fields, as well as the required fields for all your HSP's business needs before selecting the data to be migrated into your new CMS/EMR.

Description

The DD-03: Client Information report generates a data download that contains all client information for the selected date range. Note, you may want to run this report for all time to ensure all client information such as DOB, Emergency contact information, etc. are available when migrating. This is because the date range captures only when this form was first created, which may be outside of the date range desired for migration.

titleDD-13: Group Attendance Information

Description

The DD-13: Group Attendance Information report generates a data download that contains includes Group Attendance, Activity, and Program Information that was entered within the selected date range.

Some important notes about DD-13:

  1. Group attendees of the same group have the same ACTLOG_ID.
  2. The Service Provider field contains the main provider, i.e. the provider who filled in the group attendance information.
  3. To identify the secondary providers of a group appointment, please use the Activity Log data dump (DD-11).  All providers of a group appointment have the same GROUP_ID and START_DATE (date and time) values.

Description

The DD-21: ACL Lookup report generates a data download that contains all your organization's currently locked clients using the Access Client Lock function in Catalyst.  If there are any rows generated in this report, these restrictions will have to reviewed to ensure that the primary person on your team performing the Data Downloads for the migration is not restricted and allowed to extract all clients' data. Note, this information can be transferred to any lockbox function in any CMS/EMR using this report.
