Site User Accounts

Site user accounts are used for data entry and have no reporting or administrative functions. The next section of this article describes reporting/admin account permissions. Your agency has full control over the creation and administration of regular accounts (instructions for creating new accounts can be found here).

Module permissions

These permissions determine which NEO modules the user can enter data into. A NEO "module" describes the options you see in NEO's main menu. Users can be granted access to all or some of these modules for the purpose of data entry with different levels of permission.

NEP/NSP Transaction moduleSite Administrator Training

"NEP/NSP Transaction" module, collects data about the services and supplies distributed to clients. This module has three different levels of permissions.

NEP/NSP Transaction permission

This is the standard level of permission provided to most users. Checking off this level of permission will allow the user to: 

  • Enter data through the Transaction screen for any date/time and any Transaction Site they have permission to access,
  • View and edit the Client Details screen associated with a client reference code, and
  • View the Transaction Logs for a client reference code.
    • No personal information or personal health information is stored in NEO (in fact, no free text notes of any kind are permitted about clients), but the Transaction Logs will show details like when a client last visited the service and what types of services/referrals/items they have received in the past.

To grant this level of permission, check off NEP/NSP Transaction under Module Permissions when creating or updating a user account.

NX Transaction Real Time permission

This permission is the exact same as "NEP/NSP Transaction" (above), except users can only enter data for the current date.

User Cannot Access Client Details permission

Checking off this level of permission will allow the user to: 

  • Enter data through the Transaction screen for new and existing clients, but not see Transaction Logs,
  • Create new client reference codes, but not view or edit Client Details screen.

Users can be limited to only entering transactions for the current time and date by selecting both "NX Transaction Real Time" and "User Cannot Access Client Details Screen."

Otherwise, if you would like the user to be able to back-date transactions, but not have access to Client Details, then select "NEP/NSP Transaction" and "User Cannot Access Client Details Screen."

Needle Exchange Aggregate Data module

This Needle Exchange Aggregate Data permission is the Bulk Entry module will allow the user to enter bulk, anonymous data.

Naloxone Module

Checking this off will allow the user to enter data into the Naloxone Used module. The Naloxone Used module collects anonymous data about reported incidents of naloxone administration in the community.

Consumption and Treatment Service module

CTS Real Time permission

The CTS Real Time module allows users to enter live interactions, this module does not allow users to change the date or time. Checking off this level of permission will allow the user to:

  • Record Client Details,
  • Record clients in the Waiting Room,
  • Record clients in a Booth,
  • Record Medical Emergencies,
  • Record clients in the Post Consumption Room.

CTS Retro permission

The Retro permission is the Backdate CTS module, this module allows users to backdate interactions. Users have the ability to select the date and time an interaction may have occurred.

Multi-site permission

Users can be granted access to multiple Transaction Sites for the purpose of data entry. For example, if a staff person regularly works out of two dispensing locations, or even two separate agencies, then they will likely need permission to access multiple different Sites. Site Administrator/Reporting Accounts

Reporting/administrative accounts are separate from regular accounts. Only the ONHRDB System Administrator at CAMH can create and administer these accounts, so please contact support for assistance.

Module permissions

Reporting/admin accounts can be granted access to all of the previously mentioned modules for regular accounts, as well as the following modules. Click here for more details on Site Administrator Training.

Manage site staff module

Allows the user to create, disable or edit user accounts across one or many sites. Just like regular accounts, Reporting/admin accounts can be granted permission to access multiple Sites in NEO, if needed.

Edit/Delete NX Transaction module

User can edit and/or delete previously entered NEP/NSP transactions. Users can be limited to only being able to edit transactions, or only being able to delete transactions, if you choose.

Edit/Delete Client module

Users can edit and/or delete clients. Users can be limited to only being able to edit transactions, or only being able to delete transactions, if you choose.

Reports module

Users can generate and export NEO reports. Read more below.

Reporting permissions

Reporting permissions can be limited by Site as well as report type. For example, users may only need to access reports for one particular site, or they may need access to all sites in a region. Similarly, a user may only need access to reports having to do with item inventory/item dispensed, or they may require access to all available reports.

Requesting reporting/admin accounts

Please contact help desk support if you need to set up a new reporting/admin account. In your request, please indicate the following information.

  • New user's name and email address.
  • This new user requires the following permissions:
    • Full permissions (Y/N)
    • If NO, what permissions do they require?
    • Multi Site Access
      • All of my agency's sites (Y/N)
      • If no, please which list sites the user needs access to?
    • Manage site staff (Y/N)
    • NEP/NSP
      • Create new NEP/NSP Transactions and clients (Y/N)
      • Edit existing NEP/NSP Transactions (Y/N)
      • Delete existing NEP/NSP Transactions (Y/N)
    • Clients
      • Edit Clients (Y/N)
      • Delete Clients (Y/N)
    • Reports
      • All available reports (Y/N)
      • If no, what reports do they need access to?
