The Staged Screening and Assessment (SS&A) Screener Reports can assist you in your role as a leader and administrator with your agency, including:

  • Supporting implementation monitoring and clinical supervision
  • Providing a high-level overview of the specifics of the most immediate concerns of your client population
  • Identifying the prevalence of co-occurring substance use and mental health concerns
  • Giving you the ability to track trends across your organization to inform programming and resource allocation

There are separate reports for the Global Appraisal of Individual Needs Short Screener (GAIN-SS), Modified Mini Screener (MMS), and Problem Oriented Screening Instrument for Teenagers (POSIT). This Quick Reference Guide provides an overview of the components of each report, as well as suggestions as to how the information may be used.

GAIN-SS Report

This report includes:

  • Tab 1: Number of screeners completed by program and total across the agency
  • Tab 2: Number of screeners completed by client gender and clinician
  • Tab 3: Client percentages scoring by subscale and total
  • Tab 3: Client percentages scoring by item

This report provides information to facilitate implementation monitoring, improvement, sustainability, and clinical supervision. For example, the percentage of clients scoring 3 or more on the substance use subscale can help inform the expected implementation rate of the GAIN Q3 MI ONT.

MMS Report

This report includes:

  • Tab 1: Number of screeners completed by program and total across the agency
  • Tab 2: Number of screeners completed by client gender and clinician
  • Tab 3: Client percentages scoring by section and total
  • Tab 3: Client percentages scoring by suicidality and trauma

This report is helpful for implementation monitoring, determining the number of clients presenting with several subcategories of concurrent disorders, and the number of clients presenting with suicidality and trauma. This information is helpful for internal resource allocation and planning, and/or establishing and informing external partnerships.

POSIT Report

This report includes:

  • Tab 1: Number of screeners completed by program and total across the agency
  • Tab 2: Number of screeners completed by client gender and clinician
  • Tab 3: Percentage of clients scoring at each risk level for each of the subsections

This report provides information for implementation monitoring, programming decisions, and a better understanding of the presenting mental health issues of the client population (i.e., youth ages 12-18). This information is helpful for internal resource allocation and planning, and/or establishing and informing external partnerships.

Navigating Within the Report

Tabs are found along the bottom of the report and indicate the different topic areas of the report.

How to Apply Filters

The option to filter by staff is available on the left of the screen of the reporting portal. Filters are also known as Input Controls in the reporting portal.

This information can be useful for clinical supervision, as well as getting a better understanding of the client population in a particular program. You can apply the filter and view reports in real-time.

 


How to Generate and Export Reports as a Microsoft Excel Document

In  order  to  export  your  data, click on the “Export” button in  the  top  left  corner  of  the  platform:

Once you click on this button, the “Export” window appears (note that this will look slightly different for each report):

Choose how many of the tabs you would like displayed in the report. The window defaults to include all reporting portal tabs, but you can deselect tabs that are not of interest to you.  

Choose the file type. Extracting the data to a Microsoft Excel file is the best option. Select Excel (.xls), to ensure compatibility with all versions of Microsoft Excel. Excel (.xlsx) is compatible with Microsoft Excel 2010 and newer. Although the window defaults to PDF, formatting is less intuitive with this file type. If you export the report as a PDF, it may present the information poorly.

Click OK. The report will generate and automatically download to the default destination of the Internet browser you are using.
