The Client Search function searches on first and last names plus middle name and last name at birth along with variations of given names such as shortened or nicknames. In the example, three exact name matches are returned: Alex Cooper, Alexandra Cooper and James Cooper. Alexandra is a name variation of Alex and is seen as an exact match, but James Cooper seems suspect. However, a closer look at the results verifies the middle name is an exact match as indicated by the name of Alex in the Middle Name column. 


Even though the gender and date of births differ, the search returned exact matches on the two searched fields, First Name and Last Name, as indicated by the number "2" in the column titled, Variables Matched, and by the red type of the first, last and middle names.   The Get Partial Matches button appears at the bottom of the screen which is an indication that there are additional possible matches in the system for Alex Cooper.

By clicking on the Get Partial Matches button, the search result screen is expanded from a list of three to a list of 12 possible matches. Keep in mind the focus of the client search is twofold: to find existing clients and at the same time reduce the odds of adding duplicate clients to the database.

Variables Matched

Looking at the search results above, the first name as entered on the Client Search screen was found in either the first name or the middle name fields on the *Client Information screen. If a middle name is matched it will appear in the Middle Name column to the right in red type. The Matched Variables field at the end of each row is a count of the number of fields matched per result. Hovering over the Matched Variables count with the mouse displays the title of the matched field(s) for each result returned.

* The Client Information screen collects and displays clients'' demographic and contact information. This screen serves as the starting point for entering a new client, looking up admission/program information and logging pre-admission contacts/services. The system performs the same way for all Client Search fields. If the date of birth was included in the initial search the client(s) date of birth would be displayed in red and would be counted in the Variables Matched field.

Explanation

3Provides a count on the number of search results and the number of pages.  In the example, there are five matches displayed on "Page 1 of 1". If the results were many, such as a count of 44, then this line would display Search returned 44 results.

Clicking on a column header re-sorts the list of results by that field.  A second click on the same header will reverse the sort order.  For example, clicking the Name column header will sort the results in ascending alphabetical order by last name. A second click on the same header will revers the sort order to descending alphabetically.

Business Rules

A "page" displays a maximum of 25 clients. If your search returned more than 25 results, and your client''s name is not in the first 25, you must click on the Next Page hyperlink at the bottom of the list.

For clients with no first name and last name, you will see "Client Info" in the Name column.
