Question

I have a question related to appointments that are scheduled but do not occur. If you put the time scheduled as the original time the appointment was scheduled for it seems to skew the total number of hours for the time period (the total goes over the actual hours). Should counsellors be putting in 0 for the scheduled time to indicate no shows or cancelled appointments? In principle, the ST-03 Service Summary for All Staff report shouldn't add those hours that do not occur to the total hours for the reporting period. Is it possible to get confirmation that this doesn't happen.

Answer

The ST-03 Service Summary for All Staff report summarizes the services provided for occurred activities ONLY. The actual amount of time spent on an activity can be different from the scheduled activity duration. The data will not be "skewed" if the clients leave the scheduled duration as is and do not edit to duration of "0". The field is for the time that was scheduled for the appointment, not necessarily how long the appointment actually took or if the appointment took no time at all. If you are choosing "not occurred" in the activity status field the time and service interactions will not be counted.
