Question

When I look at the number of Direct Service Activities on the program Service Summary for clients, there are a large number of services in the Direct Service field? How come when I run the OHRS report, the count on visits appears to be significantly lower in comparison? The auto-calculate feature is Yes for this program.

Possible reasons as to why you may not see the counts that you are expecting:

  1. The activities that will be counted are the activities that “Occurred” within the report date parameters. For example, if an activity occurred on July 10th and you ran the report as of July 11 – July 30th, the activity on or before July 10th will not be included in the report, nor will activity on or after July 30th.


  2. Occurred activities will not appear if they are 5 minutes or less. The activity must be greater than 5 minutes in order to appear on the report. So if you have recorded multiple sessions as 5 minutes, the count would be included in the Service Summary on the Program screen and will show on staff reports but the service will NOT be included in the OHRS reports.
  3. There is only 1 visit (s.450) counted per day per program per client for face to face same for direct non-face to face (s.451); group attendances would be counted, one for each So in reality, the count on visits face to face and non-face to face that is seen on the Program Summary screen may not be represented as visits counted on the OHRS report.
