At first glance, if there are questions or concerns pertaining to the counts that are showing in the report:

  1. Review the Note section.
  2. Second run the OHRS (formerly MIS) Reporting – Statistical Accounts for Client Activity – Details report for the same reporting period. This report will provide a list of individuals on which the report is based.
  3. Run the CL-20: List of Client Appointments report to view activity.
  4. Run the PR-03 List of Agency Programs to make sure the programs are linked as they should.

CL-20 - List of Client Appointments

The CL-20 report can assist agencies in interpreting the OHRS report i.e. visits and group attendances. This report will list the appointments and provide the Functional Centre that the services are linked.

Activities recorded for clients not in a program and no FC linkage

Activity not linked to a Program and not linked to a Functional Centre- services will appear in a Non-Specified FC report table

Recording of Group Session

Two clients registered to same program / 1 client each in two other programs – Total of 4 clients – 1 group session.  There will be a count of 2 in S.491**20 one FC and a count of 1 each for the remaining 2 FC There will be a count of 1 for group sessions S.4920010 for each of the 3 FCs.

PR-03 - List of Agency Programs

The program set up in the database plays a pivotal role in how the data translates in report tables. Run the PR- 03: List of Agency Programs to get a picture of how the programs are set up in the database and ask the questions:

  1. Is the program linked to a Provincial Service Category? If so, is it linked to the correct FC?
  2. In the case of non SA/PG funded programs, is the program linked to a Functional Centre and if so is it the correct FC?
  3. Does the program set up reflect the services offered to clients?


Other Considerations:

  • The OHRS – Program Level report will not include Anonymous Clients
  • The OHRS – Program Level will not report consolidated PSC to FC data as it is FC level data
  • OHRS program level report may not provide an accurate count on individuals served to the FC as there may be multiple programs in the same FC and there may be cross-overs on the clients in
  • OHRS by Program report is based on Program dates. Let’s say a client is admitted to two programs, same FC for the same admission. Program 1 from Jan 1 – Jan 15 and Program 2 from Feb 1 to Feb 15 – there is a gap in services for the FC from Jan 16- Jan If OHRS by Program is run from Jan 16 – Jan 31, the result would be 0 in Individual served. But if OHRS report at the FC level was run, there would be a count of 1 individual served for that FC. As the report would query from Jan 1 – Feb 15 (start of the first program to the end of the 2nd), and the client will be counted as 1 for the FC.
  • The activity log plays a role in determining:
    • Is the activity log used to track client services
    • If it is used, are all programs set to auto-calculate the activity from the activity log?
    • Is the auto-calculate feature set to Yes or No?
