The Catalyst reports found in the OHRS report folder are more than just data that you can use to report into OHRS. This report provides so much more. It provides a blue print of what services were provided by service providers to clients and the method of service delivery. The report is unique in that there is no other one report that a Catalyst report user can run to get this combination of collated data. It collates data across programs by functional centre, provides details on groups, intervals on services, visits, wait lists, admissions, discharges, reason for discharges and much more. The report is unique in that it permits Catalyst report users a peek into a FC/Program window to see what is going on at the functional centre or program level for any selected reporting period.

Running OHRS Reports

  1. From the Reports menu in Catalyst, choose Catalyst Reports.



  2. The reports window (SAP) will launch, and the OHRS reports are found in the OHRS (formerly MIS) Reports folder.




  3. The report parameters box will appear.
  4. Select the report parameters:
    1. Program Start Date Range

      1. Includes programs that are opened and carried over to this reporting period. For example, if a client was open in March 2019 and was still open when the report was run as of April 1, 2019, the client would appear on this report as individuals served. If the client had activity during the reporting period, counts would appear in activity related accounts such as visits fact to face, attendance days i.e. activity as of April 1, 2019.

    2. Enter Admission/Program Site Number
      1. Select the site, or all sites to be reported on.  Ensure that the site chosen is moved over to the field to the right by either clicking the > arrow or double clicking the value.  
    3. Include Non-(SA/PG) Addictions Programs: The options are “Yes” or “No”. 

      1. Select “Yes” and tables will display for:

        1. the accounting centre (agency level data),

        2. all funded substance abuse and/or problem gambling functional centres,

        3. all non-funded functional centres (for example Mental Health programs),

        4. plus a table for services that are not linked to any functional centre. 

      2. Select "No" and tables will display for:
        1. only funded substance abuse and/or problem gambling functional centres,
        2. non-addiction programs will not be counted in the Accounting Centre table.
  5. Once parameters are selected, click OK to run the report.
    1. When the report displays on screen, it can be exported (options include PDF, Excel, Word, CSV, XML)and saved.

Report Format

The first section of the report displays a summary of the parameters selected.

The next section, includes report specific Notes, which are expanded over the first 3 pages of the report.

The following section displays the report data.  The length of the report and the number of tables displayed are dependent on the number of Functional Centres that the agency is reporting and whether or not the value “Include Non-(SA/PG) Addictions Programs” was “Yes” or “No”.

  1. The first table displayed in the report is for agency level data of: unique individuals served for the reporting period, including non-registered clients who only received entry services for the reporting period; the count on admissions and a count on the number of discharges for the reporting period (the AC=82990 Undistributed Accounting Centre)
  2. Funded SA/PG Functional Centre tables will take precedence next
  3. Followed by Non-(SA/PG) Addiction Programs with Functional Centres
  4. Then non SA/PG programs/services with no functional centres (Functional Centres displayed as FC=Not Specified)
  5. A table will display for “Non-Ministry Entry Services” if there are services that are linked to Pre-Entry Services activity type and the services are NOT linked to a FC.

Distinction Between Functional Centre and Provincial Services Category Reporting

One way to report on client activities is by the type of services the clients receives. Another way to report is by the functional centre assigned to the staff person who provides the services. OHRS is concerned with the latter while DATIS' mandate is to report by the former, employing the provincial service categories. The FC reporting is concerned with funding and expense distribution, while the PSC reporting is concerned with the types of services that are provided to clients.

Breaks down statistics for client activity at the functional centre level.

That means: if there are 3 programs all linked to the same FC, the statistics will be collated and displayed in one table for that FC.

OHRS (formerly MIS) Reporting – Statistical Accounts for Client Activity

– Program Level

Pulls the statistics out by program per functional.

That means: if there are 3 programs linked to the same FC, a table will appear for each of the programs and will not roll up to the FC.

– Details

 


This report lists all distinct clients served in the agency for the reporting period at the organization or functional centre level.

This means: Clients served for the reporting period are listed in alpha order

1.      First at the agency level (Undistributed Accounting Centre, AC 82990). This data is separated into two tables

(a)  by clients with admissions and then

(b)  by clients with no admissions – as long as there is activity in the reporting period, those clients who received Entry Services but did not go on to admission are listed

2.      Second set of tables are for clients who have an open program registration in the reporting period (Individuals Served by Functional Centre s.455**). If there is an open registration in the FC for the reporting period, the name, chart number, age, etc., will be listed for by FC.

 The tables displayed are dependent on agencies’ functional centres.
